How Netiiv handles your personal data.

Who we are

Netiiv is a software development brand of UrutiHub Ltd, a company registered in Rwanda, located at UrutiHub Space, KK 559 St, Kigali, Rwanda. For the purposes of data protection law, UrutiHub Ltd (trading as Netiiv) is the controller of the personal data described in this policy. What this policy covers

This policy applies to the website at www.netiiv.com and to the information you give us through it, for example by sending a project inquiry. It does not cover the products we build for clients, which have their own policies, nor third-party sites we link to.

Information we collect

Information you give us

When you use the “Start a project” form we collect your full name, email address, the organisation you work with (optional), the type of project, an estimated budget (optional) and the details you write in the message. If you email, call or message us on WhatsApp, we also receive whatever you choose to share.

Information collected automatically

With your consent (see Cookies and analytics below), Google Analytics records how the site is used: pages viewed, sections scrolled into view, links and buttons clicked, approximate location derived from your IP address (city or region level), device and browser type, screen size, language, referring site and anonymous identifiers stored in cookies. We never see your full IP address in Google Analytics reports.

Our hosting infrastructure also keeps standard server logs (IP address, requested URL, time, user agent) for a short period, which we use only to keep the site running securely.

How we use it

• To reply to your inquiry, prepare a proposal and, if we work together, deliver the project.
• To understand which pages and projects visitors find useful so we can improve the site.
• To measure site performance (Core Web Vitals) and fix technical problems.
• To keep the site and our systems secure and to prevent abuse of the contact form.

We do not sell personal data, and we do not use it for advertising or profiling.

Legal basis

We process personal data in line with Rwanda’s Law No. 058/2021 relating to the protection of personal data and privacy, and, where it applies to visitors from other countries, comparable laws such as the GDPR. Our bases are:

• Consent for analytics cookies. You can withdraw it at any time using “Cookie settings” in the footer.
• Steps towards a contract and our legitimate interest in responding to you when you send an inquiry.
• Legitimate interest in keeping the website secure and available.

Cookies and analytics

We use Google Analytics 4 with Google Consent Mode. Until you accept, Google Analytics sets no cookies and only receives cookieless signals that let us count visits in aggregate without identifying you. If you accept, the cookies below are set so that repeat visits and sessions can be recognised. If you decline, or later withdraw consent, no analytics cookies are used.

Google processes this data on our behalf and may transfer it to servers outside Rwanda, including in the United States, under its own safeguards. Read Google’s privacy policy and how Google uses data from sites that use its services at policies.google.com/technologies/partner-sites. You can also block Google Analytics in any browser with the Google Analytics opt-out add-on.

Who we share data with

We share personal data only with service providers that help us run the site, and only as needed:

• Google LLC (Google Analytics) for usage measurement, subject to your consent.
• Resend, Inc. for delivering contact-form inquiries to our inbox by email.
• Google (Gmail), which hosts the mailbox that receives inquiries, and Google Maps, which embeds the map on the contact page.
• Our hosting provider, which stores the website and server logs.

We may also disclose information when the law requires it or to protect our rights. We never sell or rent personal data.

How long we keep data

• Inquiries and related correspondence: for as long as needed to respond and, if we work together, for the duration of the relationship plus the period required by law for business records.
• Google Analytics event data: up to 14 months, after which it is deleted or aggregated.
• Server logs: typically no longer than 30 days.

Your rights

Depending on where you live, you have the right to:

• Ask what personal data we hold about you and receive a copy.
• Have inaccurate data corrected or incomplete data completed.
• Ask us to delete your data, or to restrict or object to how we use it.
• Withdraw consent to analytics at any time via “Cookie settings” in the footer.
• Receive the data you gave us in a portable format.

To exercise any of these rights, email info.netiiv@gmail.com. We will respond within 30 days. If you believe we have not handled your data properly, you can lodge a complaint with the National Cyber Security Authority (NCSA), Rwanda’s data protection supervisory authority, or with the authority in your own country.

Security

The site is served over HTTPS, inquiry emails are sent through encrypted connections, and access to our inbox and hosting is restricted to the people who need it. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we take reasonable steps to protect your data.

Children

The site is intended for businesses and professionals. We do not knowingly collect personal data from anyone under 16. If you think a child has given us personal data, contact us and we will delete it.

Links to other sites

The site links to client projects, partner organisations and social networks. Those sites have their own privacy practices, which we do not control. Please review their policies before sharing information with them.

Changes to this policy

We may update this policy as the site or the law changes. The date at the top shows the latest revision. If a change materially affects how we use your data, we will ask for consent again where required.
